The following procedure will bring the user of the MicroBiz Business Controller software for Windows 95 through the setup and use of the Query screens contained in the program. The Query screen will allow the user to customize a report that can be printed to the screen. The report can also be sent to a printer as well as save it as either a text file or as a file for Microsoft Excel or Lotus 123. As an example this procedure will show how to create a report based on customer sales activity.
TOOLS
This is the place to start the Query process. From the menu screen of the MicroBiz Business Controller select this menu item.

Figure 1 shows the Tools selection as well as the selections under the Tools menu.
In this case it is the Query selection and the Data Dictionary where the process is started.

The Data Dictionary screen is where the proper data base file (.DBF) will be loaded. In this screen select
Import fields and the next screen will appear. If there is existing data in the dictionary a New dictionary can be created.

Figure 3 explains how to import a database into the dictionary. Choose OK and move on to the next screen.

The database file that is going to be selected is in the BUSINESS folder. From this screen click with the
mouse on the pull down arrow

Click on the C:\ drive and double click on the BUSINESS folder. Select the CUST.DBF

file (for demonstration purposes) and then click on Import.

Selecting Fields
Figure 6 shows the data dictionary with the imported fields in it. At this point the fields that are not going to be
used can be deleted. By highlighting the unwanted field and clicking on the Delete field button on the screen, the field will
be removed from the dictionary. Once the dictionary contains the fields to be used in the report it is important to move the
fields into the sequence that will be seen on the report. Highlight the field to be moved, hold down the CTRL key on the
keyboard and using the arrow keys move the field to where you want it.

Figure 7 shows the completed data dictionary with the fields that are going to be used and in the sequence that
they will be shown on the report. The fields selected are Customer number, Title, First name, Last name, Address, City,
State, Zip, Ytd and Qtd. When complete click on Done and the screen will take you back to the Business Controller menu screen.

Figure 8 is the next step in the process where Query Manager is selected.

Figure 9 is the welcome screen to enter the Query Manager. Click on OK.

Figure 10 is the title screen where the title of the report will be entered. For demonstration purposes type in “Customers who have
spent more than $50.00”. Click on OK when complete.

Figure 11 shows STEP 1: Pick a Field. This prompts the user to select the field that will be used as a filter. In this demonstration
select Qtd (Quarter to date) and click on Next step.

Figure 12 shows STEP 2: Pick an Operator. There are several items to choose from that will create the custom
report with the needed fields. For this report the selection Greater than will be used. When the selection has been made click
on Next step to go on.

Figure 13 is the third and final step for setting filters for the report. For the demonstration, the report needed is which
customers have spent more than $50.00. In the field where the cursor is type in 50 and click on Done.

Figure 14 allows the addition of other filters or to be able to edit what filters are there.
When complete click on Done to move on.

Figure 15 prompts the user to run the query report. Click on Yes to continue.

Figure 16 is a set of instructions for setting up the output table fields. After reading click on OK to continue.

Figure 17 illustrates how to select the fields that you want in the report. Select fields by double
clicking on them or use the Pick all button on the screen to select all of the fields. For this report
use the Pick all button and click on Done.

Figure 18 allows the user to edit the record filter, edit the output fields, edit the sort order or pick the output
type. The output type could be either to a printer of to a file where it could be opened in Microsoft Excel or Lotus 123
and then printed. If the report is going to be a file, the drive and folder must be specified. Click on the Run Query
button on the screen and the report will be printed first to the computer screen.

Figure 19 is a sample of the report that will be printed out. The next screen allows this form to be edited.
Click on the X in the upper right corner of this report to close this window and continue.

Figure 20 will allow the user to either print the report as it is or to edit the format. Select Yes to continue.

Figure 21 is the screen from which the layout of the report form can be changed. After the changes are made the results can be
viewed before printing. When changes are complete, or if no changes were made, click on the Start report button on the screen
and the report will print.
When the report is finished printing, click on all of the Done buttons to back out of the Query screens and back to the MicroBiz main menu.
The Query report screen can utilize other database files to produce customized reports. Files such as INVOICE.DBF that contain
customer history can be another useful file to use to create a report.
